Product usage signals (2026): the tools that turn signups into sales conversations
Product usage signals are the things people do inside your product that say an account is ready for a sales conversation: a third teammate joins, someone hits a plan limit, a workspace connects the integration your paying customers all use. A product qualified lead (PQL) is an account or user that crosses a line you define on those signals.
This is the strongest buying signal a product-led company has, because it is first-party and nobody else can see it. Below is what OneGTM uses to act on it, then the analytics tools that capture usage, the pipes that move it into the CRM, and the signal platforms that score it, with what each vendor publishes about price. The dedicated PQL category has mostly been bought up, so most teams now build this from parts.
Key takeaways
- You already own the signal. The work is getting it out of the product database and onto the CRM record a rep looks at.
- PostHog, Mixpanel, and Amplitude all have free tiers of 1M to 2M events a month, which covers capture for most early teams.
- Segment, Hightouch, and Census (now Fivetran Activations) move usage into the CRM, each with a free tier.
- Pocus joined Apollo, Koala was acquired by Cursor and shut down, and MadKudu now redirects to HG Insights. Check that a PQL vendor is still selling before you sign.
- Start with two or three signals tied to past conversions. A 40-signal score nobody trusts gets ignored.
What OneGTM uses for product usage signals
We read usage straight from the client's warehouse or product database, decide which accounts cross the PQL line, and write the result onto the Attio company record with the reason attached. Reps see one field and one sentence, not a dashboard.
Deepline
OneGTM uses this
GTM data platform that runs scheduled plays as code. It connects to Postgres, BigQuery, Snowflake and other warehouses, so a play can pull last week's usage, score accounts, find the right contacts, and push them to Attio, Instantly, or HeyReach in one run.
Best for: Owning PQL logic as versioned code next to enrichment
Pricing: Pay as you go at $0.10 per credit with no platform fee.
Attio
OneGTM uses this
CRM with custom objects and an open API, so usage data can live as fields or as its own object linked to the company. Attio also lists a Segment app for sending product events in.
Best for: Putting PQL status on the record reps already work from
Pricing: Free plan; Plus $35 and Pro $79 per user per month billed annually ($44 and $99 monthly). Enterprise custom.
Clay
OneGTM has used this
Enrichment tables that can receive product events by webhook on the Growth plan, then enrich the account, find contacts, and pass them to a sequencer.
Best for: Teams already enriching in Clay that want signups enriched on arrival
Pricing: Free plan without signals or webhooks. Launch $167/month billed annually ($185 monthly). Growth $446/month billed annually ($495 monthly) adds webhook signals. Enterprise custom.
Product analytics: where usage gets captured
These tools record events in your product. They are where you define the cohort, such as workspaces with three or more active users this week, before anything goes to sales.
PostHog
Open source product analytics with session replay, feature flags, and a data warehouse in one product. Its destinations can send events and cohorts to other tools, including a CRM.
Best for: Engineering-led teams that want analytics and pipes in one bill
Pricing: Free every month for 1M analytics events, 5K session recordings, and 10K destination events plus 1M rows. Pay as you go above that, priced per unit.
Mixpanel
Event analytics built around funnels, retention, and cohorts, with unlimited seats on the free plan.
Best for: Product teams that live in funnels and retention charts
Pricing: Free up to 1M events a month. Growth starts at $0 for the first 1M events, then $100/month billed annually for 1.5M and $840/month for 10M (higher monthly). Enterprise custom.
Amplitude
Product analytics with behavioral cohorts, session replay, and experimentation. The Plus plan caps at 20 behavioral cohorts.
Best for: Larger product orgs with a dedicated analytics team
Pricing: Free up to 2M events a month. Plus starts at $0 with the first 2M events free and scales with volume. Growth and Enterprise custom.
Pipes that move usage into the CRM
If usage lives in a warehouse, reverse ETL syncs a model of it into the CRM on a schedule. If it lives in an event stream, a CDP forwards it.
Segment
Twilio's customer data platform. Collects events from your app once and forwards them to hundreds of destinations, including CRMs, plus reverse ETL from the warehouse.
Best for: Teams that want one tracking plan feeding many tools
Pricing: Free for 1,000 monthly tracked users and 2 sources. Team from $120/month for 10,000 MTUs. Business custom.
Hightouch
Reverse ETL and composable CDP. Write a SQL model of your PQL accounts in the warehouse and sync it to Salesforce, HubSpot, Attio, or a sequencer.
Best for: Warehouse-first teams with a data person
Pricing: Free for up to 2 active syncs with unlimited destinations. Paid plans are usage-based with no published price.
Census (Fivetran Activations)
Census is now part of Fivetran and sold as Activations. Same job: sync warehouse models into the CRM and other tools.
Best for: Teams already loading data with Fivetran
Pricing: Free plan includes 3,500 monthly active rows for activations. Paid usage is priced on monthly active rows; Fivetran's example of two CRM syncs on the Standard plan comes to $400.21/month. 14-day trial per activation.
Signal platforms that score usage for reps
These combine product usage with web, CRM, and third-party signals and hand reps a ranked list. Both keep product signals on their top tier.
Unify
Signal-based outbound platform. Product usage and website intent can trigger plays that pick a contact and enroll them in a sequence. Garrett built Unify's own outbound plays when he worked there.
Best for: BDR teams that want product signals and sending in one tool
Pricing: Free for up to 3 seats. Base $20/seat/month; Pro $60/seat/month. Product usage signals are listed on Business only, which is custom and billed annually.
Common Room
Pulls product, website, CRM, community, and social activity together, resolves it to people and accounts, and routes it to reps with AI-drafted outreach.
Best for: Product-led companies with community and usage data
Pricing: Essential $2,500/month billed annually. Product Signals is listed as an add-on; Enterprise includes product signal integration. Advanced and Enterprise custom.
Prices are from each vendor's site as of October 2026 and change often, so check before you buy. This is an opinionated list, not a paid ranking. Some links are referral links that may earn us a credit; that never changes what you pay or who makes the list.

What product usage tells a seller
Usage answers the question cold outbound never can: is this account already getting value? A free workspace with one user who logged in twice is a lead in name only. A free workspace where seven people from the same company domain log in every day, two of them managers, is a sales conversation waiting to happen.
The useful signals are usually few. Pull your last 50 closed-won accounts that started on free or trial and look at what they did in the 30 days before they talked to sales. Most teams find two or three behaviors that separate them from accounts that never paid.
- Seat growth: a third or fifth active user from the same company domain.
- Limit pressure: hitting a usage, seat, or storage cap on the free plan.
- Integration installed: connecting the tool your paying customers almost all connect.
- Admin intent: visiting billing, security, SSO, or the pricing page from inside the app.
- Expansion: a paid account adding a new team or department.
The PQL category consolidated
Several tools built only for PQLs are gone or changed hands. Pocus announced it was joining Apollo in March 2026 and its site now shows a waitlist. Koala was acquired by Cursor and shut down. Breadcrumbs folded into MadKudu, and madkudu.com now redirects to HG Insights. Census became Fivetran Activations. Endgame now sells a context layer for sales calls and email.
That leaves two practical routes. Buy a broader signal platform that includes usage on its top tier, such as Unify Business or Common Room. Or build it from parts you probably already pay for: product analytics, a pipe to the CRM, and a scheduled job that scores accounts. The second route is cheaper and you own the logic, but someone has to maintain it.
How to use product usage signals in outbound
Here is the play we set up most often. A nightly job reads the last seven days of usage, flags any company domain with three or more active users that is not paying, and writes PQL status and the reason to the CRM company record. The job then finds the economic buyer at that company, who is usually not the person using the product, and enrolls them in a short sequence. The routing rule sends it to the rep who owns the account, or to the pool if nobody does.
The copy names the team, not the clicks. "Four people on your design team have been using the free plan since August" lands. "I saw you exported 14 files on Tuesday" reads as surveillance and gets reported. Offer something useful for the next step, such as a security review, a shared workspace setup, or pricing for the seat count they already have.
- Define the PQL line from past conversions, not from a vendor's default score.
- Write the reason next to the flag so the rep knows what to say.
- Reach the buyer at the account, not only the user who signed up.
- Suppress anyone in an active sales cycle or an open support ticket.
- Review conversion by signal every month and drop the ones that do not convert.
Privacy and your own terms
Product usage is first-party data, but you still need your privacy policy and terms to allow using it for sales outreach, and in the EU and UK you need a lawful basis. Keep outreach at the account and team level, honor opt-outs across product email and sales sequences, and do not pass raw event logs into tools that do not need them. This is not legal advice.
When to get help with product usage signals
Most product-led teams have the data and no path from it to a rep. The analytics tool knows who is active, the CRM does not, and sales works a list of signups sorted by date.
OneGTM finds the signals that predicted past conversions, builds the job that scores accounts and writes them to your CRM, and wires the outreach that follows. You own the code, the data, and the workflows.
- You have thousands of free signups and no way to tell which ones to call.
- Usage data sits in a warehouse or product database that sales never sees.
- Your PQL vendor was acquired or shut down and you need a replacement.
- You built a PQL score once and reps stopped trusting it.
