Best email tracking tools (2026): what to track, and what to ignore

Email tracking tools tell you when a prospect opens an email, clicks a link, or replies. For sales teams the useful signals today are replies and clicks. Open tracking has become unreliable because Apple Mail preloads tracking pixels whether or not someone reads the email, and cold email vendors now recommend turning it off to protect deliverability.

Below is how OneGTM tracks email for clients, then the other email tracking tools worth knowing for one-to-one sales email and outbound campaigns, with pricing from each vendor.

By Garrett Wolfe, founder of OneGTM (Clay Artisan Solutions Partner) and former GTM engineer at Unify. Updated .

Key takeaways

  • Track replies and meetings first. They are the only email metrics that reliably mean interest.
  • Open rates are inflated by Apple Mail Privacy Protection, so treat them as a rough trend at best.
  • For cold email we turn open tracking off and use click tracking sparingly, as Instantly and lemlist both recommend.
  • For one-to-one rep email, HubSpot's free tracking covers most teams before a paid tool is needed.

Why open rates mislead now

Open tracking works by loading a tiny invisible image when the email is displayed. Since iOS 15, Apple's Mail Privacy Protection downloads that remote content in the background when a message is received, not when it is read, so Apple Mail users show as opens whether or not they looked. Apple says so on its Mail privacy support page. The same page notes that the protection does not cover links, so clicks still mean someone acted.

Image blocking in other clients undercounts opens in the opposite direction. The result is that open rate is no longer a reliable read on interest or on subject line performance.

Should you track opens in cold email?

Usually not. Tracking pixels and rewritten tracking links add markup that spam filters notice, and both Instantly and lemlist now document options or advice to disable open tracking to improve deliverability. For cold email we turn opens off, leave click tracking off unless a link is central to the campaign, and judge results on replies, positive replies, and meetings booked.

Keep the rest of your setup in line with Google's sender guidelines: authenticated domains, easy unsubscribes, and low spam complaint rates. Our free deliverability checker tests the DNS side.

What to track instead

  • Reply rate and positive reply rate per campaign and per mailbox.
  • Meetings booked and the opportunities they turn into.
  • Bounce rate, kept under about 2 percent. See bounce rate.
  • Inbox placement from seed tests. See email warmup tools.
  • Clicks only when a link is the point of the email, such as a case study or calendar.

When it makes sense to get help

Picking a tracking tool is easy. Knowing what the numbers mean is harder, and many teams optimize subject lines for open rates that Apple inflated, while deliverability quietly slips. OneGTM sets up sending infrastructure, reporting on replies and meetings, and alerts when placement drops, so you see what is really working.

  • Open rates look fine but replies and meetings have dropped.
  • You are not sure whether tracking is hurting your deliverability.
  • Campaign reporting does not connect to pipeline in the CRM.

Email tracking tools FAQ

What is the best email tracking tool?
For one-to-one sales email, HubSpot's free email tracking covers most teams, and Mailtrack, Yesware, Mixmax, and Streak are good inbox add-ons. For cold email campaigns, use the tracking built into your sending platform, such as Instantly, Smartlead, or lemlist, and focus on replies rather than opens.
Are email open rates accurate?
Not very. Apple Mail Privacy Protection preloads tracking pixels when an email is received, so Apple Mail users can register as opens without reading, while clients that block images undercount. Treat open rate as a rough trend and rely on replies and clicks.
Does email tracking hurt deliverability?
It can, especially for cold email. Tracking pixels and rewritten links add patterns spam filters look for. Instantly offers a setting to disable open tracking to improve deliverability, and lemlist recommends turning off open and click tracking in cold campaigns.
Can I track emails for free?
Yes. HubSpot's free tools, Mailtrack's free plan, Yesware's free plan, and Streak's free plan all include basic email tracking, with limits on features or volume.
What should I track instead of opens?
Track replies, positive replies, meetings booked, bounce rate, and inbox placement. Clicks are useful when a link is central to the email.
What email tracking does OneGTM use?
OneGTM runs cold email in Instantly with open tracking turned off and reports on replies and meetings, and logs one-to-one rep email in the client's CRM, often HubSpot.
