Best cold email software (2026): what we send with, and how to pick one

Cold email software sends sequences of emails to people who have not heard from you yet, spreads the volume across many mailboxes, and stops when someone replies. The tool matters less than most buyers think. The list, the sending setup, and the copy decide whether anyone answers.

Below is what OneGTM uses to send cold email for clients, then the other sequencers and sales engagement platforms worth knowing, with what each costs today. Some links are referral links that may earn us a credit, which never changes what you pay or who is listed.

Key takeaways

  • We send client campaigns through Instantly on ScaledMail inboxes, with every list verified before it goes in.
  • Cold email sequencers (Instantly, Smartlead, EmailBison) are built for volume across many mailboxes. Sales engagement platforms (Outreach, Salesloft, HubSpot) are built for reps working their own book.
  • Most sequencers now include unlimited mailboxes and warmup, so compare them on contact limits, inbox management, and API access.
  • Switching tools rarely fixes low reply rates. Fix the list and the deliverability first.

The cold email software OneGTM uses

We send from Instantly. The mailboxes come from ScaledMail on secondary domains, warmed inside Instantly, and every domain is checked with our deliverability checker before it sends. The full setup is on our cold email infrastructure page.

Instantly

OneGTM uses this

Best for: Sending at volume across many mailboxes

Pricing: Growth $47/month (1,000 uploaded contacts, 5,000 emails); Hypergrowth $97/month; Light Speed $358/month. About 20% less billed annually.

Other cold email sequencers

These tools are built for outbound volume: many mailboxes, rotation between them, warmup, and pricing based on contacts or emails instead of seats. Volume-first platforms come first, then multichannel tools, then sequencers bundled with a data product.

Smartlead

Cold email platform with unlimited email accounts, automatic mailbox rotation, warmup, and a master inbox. Popular with agencies because client workspaces are easy to separate.

Best for: Agencies running many client campaigns

Pricing: Base $39/month (2,000 active leads, 6,000 emails); Pro $94/month; Unlimited plans from $174/month. Lower billed annually; free trial.

EmailBison

High-volume sending platform on isolated infrastructure with dedicated IPs, priced on email volume with no per-seat fees.

Best for: Teams sending hundreds of thousands of emails a month

Pricing: Base plan $599/month for 500,000 emails; extra volume sold in monthly buckets.

lemlist

Sequencer with strong personalization (images, custom landing pages) and a Multichannel plan that adds LinkedIn steps, calls, and SMS to the same sequence.

Best for: Email plus LinkedIn from one tool

Pricing: Email $69/month or $55/month billed yearly; Multichannel $109/month or $87/month billed yearly. 14-day free trial.

Reply.io

Woodpecker

Cold email sequencer with unlimited email accounts, built-in warmup slots, and the option to buy mailboxes and domains inside the app.

Saleshandy

Budget cold email platform with unlimited email accounts, sender rotation, and a unified inbox.

Best for: Low-cost sending with unlimited mailboxes

QuickMail

Sequencer with unlimited email senders and LinkedIn accounts on every plan, priced on contacts and emails sent.

Pricing: Starter $49/month (1,000 contacts, 5,000 emails); Growth $99/month; Agency $299/month. 14-day free trial.

Snov.io

Email finder, verifier, and drip campaigns in one suite, with warmup included. Credits cover lookups and recipients cover sending.

Best for: Finding and emailing contacts in one cheap tool

Pricing: Free trial plan (50 credits, 100 recipients); Starter $39/month; Pro S $99/month. About 25% less billed annually.

Hunter

Email finder and verifier with a simple Campaigns feature for sending sequences from connected Gmail or Outlook accounts.

Best for: Light outreach to contacts you found in Hunter

Pricing: Free plan (50 credits, 1 email account); Starter $49/month or $34/month billed yearly; Growth $149/month.

Sales engagement platforms with sequences

These are built for sales teams working their own accounts, with seats, CRM sync, calling, and manager reporting. They can send cold email, but they assume a few mailboxes per rep, not dozens of secondary-domain inboxes.

Apollo

Contact database, enrichment, and sequencer in one seat. Easy to start with, though data coverage and shared sending reputation are the usual reasons teams move off it.

Best for: Early teams that want data and sending together

Pricing: Free plan; paid plans from $49 per user per month; annual billing discounted.

Outreach

Enterprise sales execution platform with sequences, deal management, forecasting, and AI agents. Plans are sold by AI credit tiers.

Best for: Large sales orgs on Salesforce

Pricing: Custom pricing.

Salesloft

Sales engagement platform with cadences, deal management, and a daily rep workflow called Rhythm, now sold alongside Clari forecasting.

Best for: Enterprise sales teams with structured cadences

Pricing: Custom pricing.

HubSpot Sequences

Sequences inside HubSpot Sales Hub, sending from each rep's connected inbox with activity logged to the CRM.

Best for: Teams already on HubSpot doing warm and light cold follow-up

Pricing: Included in Sales Hub Professional, from $100/seat/month.

Amplemarket

Contact data, multichannel sequences, deliverability tools, and an AI copilot called Duo in one platform.

Best for: One contract for data and sequencing

Pricing: Startup $600/month on an annual term with 2 users; Growth and Elite are custom.

Cold email sequencer or sales engagement platform?

A cold email sequencer is built to send a lot of first-touch email safely. It connects dozens or hundreds of mailboxes on secondary domains, rotates sends between them, warms them, and prices on contacts or emails. Instantly, Smartlead, and EmailBison sit here.

A sales engagement platform is built around reps. Each seat gets a few mailboxes, a dialer, tasks, and CRM sync, and managers get reporting on activity. Outreach, Salesloft, and HubSpot sit here. They are good at follow-up on accounts a rep owns and expensive for volume outbound.

Plenty of teams run both: a sequencer for net-new outbound from secondary domains, and the CRM or engagement platform once someone replies and a rep takes over.

What actually drives cold email results

Most sequencers send email equally well. When campaigns fail, the cause is almost always upstream of the tool.

  • The list. A tight list of people with a real reason to care beats a big list every time. Verify every address before it goes in; our email verification tools page covers the options.
  • Infrastructure. Secondary domains, correct SPF, DKIM, and DMARC, warmed mailboxes, and low volume per mailbox. See email warmup tools and cold email infrastructure.
  • Copy. Short, specific, and about the reader. A good trigger, like a new hire or a funding round, does more for reply rate than any feature in the sequencer.

How to choose cold email software

Start from how many emails you plan to send a month and how many people will touch the tool. Then check the details that cause pain six months in.

  • Pricing model: per contact, per email, or per seat. Per-seat gets expensive for one operator running many mailboxes.
  • Mailbox limits and rotation. Most volume tools now include unlimited mailboxes; check what counts against a fair-use policy.
  • Reply handling: a unified inbox, reply categorization, and a clean handoff to your CRM.
  • API and webhooks, if you plan to push leads in from Clay, Deepline, or your own scripts.
  • Multichannel needs. If LinkedIn steps matter, compare lemlist and Reply.io against pairing a sequencer with a dedicated tool from our LinkedIn automation tools list.
  • On a tight budget? Our free cold email software page covers the free tiers.

When it makes sense to get help with cold email

Picking a sequencer takes an afternoon. Getting the list, domains, mailboxes, and copy right is where most teams lose a quarter.

OneGTM builds the full system: list building and verification, sending infrastructure, the sequences, and reply routing into your CRM. You own every domain, mailbox, and account.

  • You are launching outbound for the first time and want it set up right on day one.
  • Reply rates dropped and you are not sure whether it is the list, the copy, or spam placement.
  • You need to go from a few mailboxes to dozens without burning domains.
  • You want signal-triggered campaigns instead of one static list.

Cold email software FAQ

What is the best cold email software?
For volume outbound from many mailboxes, Instantly and Smartlead are the most common choices, and EmailBison suits teams sending hundreds of thousands of emails a month. OneGTM sends client campaigns through Instantly. If your reps work their own accounts inside a CRM, a sales engagement platform like HubSpot Sequences, Outreach, or Salesloft fits better.
Is Instantly or Smartlead better?
Both include unlimited mailboxes and warmup and both start under $50 a month. Instantly prices on uploaded contacts and emails, and Smartlead on active leads and emails. Smartlead is popular with agencies for client workspaces; Instantly has the larger ecosystem and a built-in database add-on. Either works if the list and infrastructure are right.
Can I send cold email from HubSpot or Salesforce?
You can send sequences from HubSpot Sales Hub Professional and from engagement tools that sit on Salesforce, but they send from each rep's main mailbox. For volume cold email, send from secondary domains through a dedicated sequencer and sync replies back to the CRM.
How many emails can I send per mailbox per day?
Keep cold volume low per mailbox, in the tens per day rather than hundreds, and add mailboxes to grow volume. New mailboxes need about two weeks of warmup first.
Do I need a separate warmup tool?
Usually not. Instantly, Smartlead, lemlist, Saleshandy, and most other sequencers include warmup. A separate tool is only useful for mailboxes you send from outside a sequencer.
Is cold email legal?
B2B cold email is legal in the US under CAN-SPAM if you use accurate sender details, honest subject lines, a physical address, and a working opt-out. The UK and EU have stricter rules based on legitimate interest, so check what applies to the people you email.
Should I hire someone to run cold email?
If you send low volume to a list you know well, a sequencer and a weekend of setup is enough. It is worth getting help when you need dozens of mailboxes, signal-based targeting, or when deliverability has already dropped.
