Best call recording software (2026): what we use, and how to get value from the recordings

Call recording software captures sales calls and meetings, transcribes them, and turns them into notes, CRM updates, and coaching data. The category splits into AI notetakers, which help the person on the call, and conversation intelligence platforms, which help a sales manager see across every call the team runs.

Below is what OneGTM uses on its own calls, then the other recorders and conversation intelligence tools worth knowing, with what each vendor publishes about price. Some links are referral links that may earn us a credit, which never changes what you pay or who is listed. The recording is the cheap part. The value comes from what you do with the transcripts afterwards, which we cover at the end along with recording consent law.

Key takeaways

  • We use Granola for bot-free meeting notes and Attio's call recording so each conversation lands on the right CRM record.
  • Notetakers (Fathom, Fireflies, Otter, Granola) start free or at about $10 to $20 per user per month.
  • Conversation intelligence (Gong, Chorus, Avoma, Sybill) adds deal and coaching views and usually costs more.
  • Some US states and many countries require everyone on the call to consent. Tell people you are recording.
  • Feed transcripts into your CRM and mine them for objections and buyer language, or the recordings just pile up.

What OneGTM uses

Granola takes notes on our calls without a bot joining, and Attio records calls and stores them against the person, company, and deal. When we draft a follow-up, Claude Code pulls the call from Granola first and falls back to the Attio recording.

Notetaker vs conversation intelligence

An AI notetaker works for the person on the call. It records, transcribes, writes a summary and action items, and maybe pushes a few fields to the CRM. Granola, Fathom, Fireflies, and Otter all sit here, and most teams can start on a free plan.

Conversation intelligence works for the manager. It records every call across the team and adds trackers for competitors and objections, deal risk views, talk-time stats, and coaching scorecards. Gong and Chorus are the classic examples, and they are priced for a sales org with several managers.

If you have fewer than ten reps, a notetaker with good CRM sync usually covers it. Move up when someone actually needs to review other people's calls every week.

Getting value from your call recordings

Most teams record every call and then never look at the recordings again. The transcripts are the best record you have of how buyers describe their problem in their own words. They only pay off when something reads them.

Start by getting each transcript onto the right CRM record, which is why we keep recordings in Attio. Then use an AI tool such as Claude to read across the whole set of calls at once. Won and lost calls side by side are the fastest way to sharpen your ICP.

  • Push the summary, next steps, and key fields to the CRM record after every call.
  • Pull every objection from the last quarter of calls and rank them by how often they come up.
  • Collect the exact words buyers use to describe the problem and reuse them in outbound copy.
  • Compare won and lost calls to sharpen your ICP and disqualify earlier.
  • Draft follow-up emails straight from the transcript so recaps go out the same day.

When to get help with your call data

Picking a recorder takes an afternoon. The work that pays off is wiring transcripts into the CRM and building something that reads them, so objections, buyer language, and deal risk show up where the team already works.

OneGTM sets up the recorder, the CRM sync, and Claude-based workflows that mine the transcripts for outbound copy and ICP decisions. You own the data and the workflows.

  • You record every call but nobody reviews them.
  • Call notes are not reaching the CRM, or land on the wrong record.
  • You want outbound copy written in your buyers' own words.
  • You are weighing Gong against a cheaper notetaker and want a second opinion.

Call recording software FAQ

What is the best call recording software for sales teams?
For small teams, a notetaker with CRM sync is usually enough. OneGTM uses Granola for notes and Attio for recordings stored on the CRM record. Fathom and Fireflies are strong free-to-start options. Larger sales orgs that need coaching across many reps tend to choose Gong or Chorus.
What is the difference between an AI notetaker and conversation intelligence?
An AI notetaker records and summarizes calls for the person on the call. Conversation intelligence records every call across a team and adds trackers, deal risk, talk-time stats, and coaching scorecards for managers. Notetakers are cheaper and often free to start.
Is it legal to record sales calls?
In most US states one party's consent is enough, but California, Florida, Illinois, Maryland, Massachusetts, Montana, New Hampshire, Pennsylvania, Washington, and a few others require everyone on the call to consent. GDPR and UK law also apply to European calls. The simplest habit is to tell everyone you are recording at the start. This is not legal advice, so check local law.
Do I need a bot to join my meetings to record them?
No. Granola and Jamie capture audio on your device without a bot, and Fathom, Fireflies, and Circleback offer bot-free options. Bot-free capture feels less intrusive, but you still need to tell people the call is being recorded.
How much does call recording software cost?
Many notetakers have free plans, and paid tiers typically run $10 to $35 per user per month. Conversation intelligence platforms such as Gong and Chorus use custom pricing, and Gong adds a platform fee on top of per-user licenses.
How do I get value from call recordings?
Get each transcript onto the right CRM record, then use an AI model to read across all of them. Pull out recurring objections, the words buyers use for their problem, and patterns in won and lost deals, and feed those into outbound copy, ICP decisions, and rep coaching.
